Clerical Assistant
PRIMARY FUNCTION:
The Clerical Assistant will assist the Program Coordinator with daily
operations of the Steuben Prevention Coalition whose purpose is to strengthen
collaboration and increase capacity building among communities and reduce
substance abuse among youth.
Specific Duties
The
Clerical Assistant may perform a combination of some or all of the below listed
responsibilities that are specifically related to the DFC Grant.
1.
Perform
general secretarial/clerical services in a professional, courteous and
efficient manner.
2.
Communicate
effectively with public and staff, both on the phone and in person.
3.
Responsible
for secretarial/clerical duties which include data entry, word processing,
photo copying, faxing, printing, mailing and filing.
4.
Attend
Steering Committee meeting, Task Force meetings, Coalition meeting along with
other meetings arranged by the DFC Program Coordinator to take and transcribe
meeting minutes.
5.
Responsible
for preparation to include room location, room arrangement and equipment set up.
6.
Responsible
for coordinating, scheduling and communication of monthly meeting packets which
could include, agenda, minutes and additional documentation pursuant to each
individual meeting.
7.
Assist
with Community Meetings, Forums, Health Fairs and Table Events to increase
community awareness of and promote the Steuben Prevention Drug Free Communities
Coalition and its mission.
8.
Assist
with social media efforts to include Facebook, Newsletter and Coalition Website
as needed.
9.
Assist
with building Coalition capacity by maintaining up to date orientation packets
for new members and scheduling of Orientation Meetings.
Assists
with other areas of the Steuben Prevention Coalition as needed and assigned by DFC
Program Coordinator.
QUALIFICATIONS
A.A.A in
Business or Secretarial Science preferred or related equivalent experience in
the field.
At least
one year of experience in a similar capacity desired. Computer literate (Word, Excel, PowerPoint)
