Position: Account Clerk II
Program: Energy Services
Reports to: Energy Services Director
Status: Full-time, Non-Exempt, for 37.5 hours per week with benefits
Job Function: Responsible
for office clerical assistance and support for the effective operation of the
office as it relates to client services and office correspondence, record
keeping, inventory and fiscal documentation.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Process all purchase orders from creating to closing one out for
the program: write PO, check pricing against statewide bid, call vendor on
pricing discounts and place order. Log invoices submitted and reconcile
against vendor statement monthly. Submit invoices and required
documentation to Fiscal Department. Ensures all spreadsheets and tracking
is updated.
- Compiles numbers for Building work Summary form in preparation
for certification and post purchase orders to fiscal materials list. Verifies
& balances to the HCR database.
- Maintains inventory charts and develops new charts for special
projects.
- Maintains inventory of all materials in QuickBooks and reconciles
monthly, letting management know of discrepancies to be resolved.
- Scheduling of all audits and new jobs to start with clients. Any issues are immediately passed to
management for follow-up and resolution.
- Responsible for billing of services performed for the HEAP,
EmPower NY, and Energy Savers programs with the help of the Director.
- Provides clerical support to department (filing, copying, faxing,
and scanning) as necessary. Provide
direction for the overall department in the absence of the Director.

training and professional development courses when required.
Education and/or Experience
Associate's
degree (A. A.) or equivalent from two-year college or technical school; plus
one year related experience and/or training; or equivalent combination of
education and experience.
Certificates, Licenses, Registrations
Acceptable and valid NYS Driver License
Physical Demands & Work Environment: While performing the duties of this Job,
the employee is regularly required to sit. The employee is frequently required
to use hands to finger, handle, or feel and talk or hear. The employee is
occasionally required to stand and walk. The employee must occasionally lift
and/or move up to 10 pounds. Specific vision abilities required by this job
include close vision.
The
noise level in the work environment is usually moderate.
