Food Bank of the Southern Tier Seeks an Order Ahead Specialist

Salary: $19/hr.

Full-time: 37.5 hours/week, work schedule Monday – Thursday, 7:30 am – 4:00 pm, and Friday, 7:00 am – 12:30 pm.

Primary Functions:

The Order Ahead Specialist (OAS) works closely with the Production Manager, the Community Impact Department, and volunteer groups to coordinate our home delivery program. This position will be responsible for building weekly orders of selected food items by a volunteer group, updating the online menu, tracking program inventory, and delivering orders to clients' homes. In addition, the OAS works closely with the Volunteer Coordinator to ensure all volunteers have a positive, rewarding, and safe experience.

Specific Duties:

Volunteer Engagement

·      Performs pre-shift discussions with the volunteer group on various topics, including instructions for shift repacking activities, and ensures that volunteers follow sanitation, safe food handling, and safe work practices.

·        Supervise volunteers on project activities to be performed and other aspects of the project.  

·        Engage with volunteers daily and provide feedback and additional guidance as needed.

·       Works to organize workflow, communication, and execution of each volunteer group's activities so that participants have an engaging, rewarding, and positive experience.

·        Facilitates volunteer repack shifts on evenings, weekends, or off-site as needed.

Logistics

·      Collaborates with the Community Impact department to identify needs regarding clients, existing and/or new partners within Order Ahead.

·        Develops effective routing schedules, and performs home deliveries of finished goods.

·   Manages Order Ahead menu for specific programs in collaboration with Health & Nutrition department, including adding new items and maintaining adequate and accurate inventory.

·        Processes weekly orders for packing.

·        Maintains ordering windows for specific programs.

·        Manages order variances, corrections, or additional orders as they may arise.

General

·    Transports raw products into the repack area, confirms counts, repacks products, transforms repacked products to new item numbers, creates a pallet ID, and stocks finished products into proper storage locations per safe food handling policies and procedures.

·     Prepares for repack events and activities, including setting up, tearing down, and cleaning up all utilized repack areas.

·        Accounts for all materials and tools utilized during on-site and off-site repack activities.

·        Records waste generated during repackaging and maintains adequate documentation.

·        Places products in appropriate storage racks.

·     Ability to perform bar-coded pallet IDs and create product part numbers in Primarius 2 inventory management software.

·        Maintain excellent accuracy for product creation, moves, and disposal.

·        Maintains all sanitation and cleaning logs as required.

·        Follows safety and sanitation standards.

·  Maintains all sanitary and safety conditions in the production/repack rooms, including documentation, per policy and procedure, and required by auditors. ( USDA, NYS, Feeding America)

·        Operates motorized forklifts, pallet jacks, and other equipment within the warehouse safely, efficiently, and in accordance with FBST policies and OSHA regulations.

·        Understand the personal responsibility to follow all safety policies, health rules, programs, and procedures, report all unsafe acts, environments, or behaviors immediately, and always report safety issues, incidents, or accidents immediately.

·    Maintains professional and courteous working relationships with member agencies, co-workers, management, donors, volunteers, and community members.

·        Provide feedback to the Production Manager and other operations staff on best practices.

·        Helps maintain a clean and safe warehouse.

·        Work with other team members in a cooperative and supportive way. For example, providing assistance and fill-in coverage for other positions as required.

·        Other duties as assigned.

                                                                                                                                                                                                                                                                     

Qualifications:

·        High School Diploma or equivalent preferred.

·        Minimum one (1) year experience working in a warehouse, product and/or food distribution center.

·        Minimum one (1) year experience working in customer service or with volunteer groups or non-profit organizations.

·        Logistics background required.

·        Intermediate working knowledge of Microsoft Word, Excel, PowerPoint, Teams, and Zoom.

·        Inventory management experience is required, with proficiency in inventory management software.

·        Certified forklift operator (will be required within 30 days after hire).

·        ServSafe certified or willing to become certified.

·        Occasionally lift, carry, or move objects weighing up to 50lbs.

·        Pass alcohol and drug testing.

·        Sensitivity to the needs of vulnerable populations and clients with the ability to work and interact well with individuals from various socioeconomic backgrounds in a culturally diverse environment with a strong commitment to social justice and equity.

·        Ability to travel throughout the six counties of the Food Bank's service area as needed.
