Membership Administrative Assistant - Cicero, NY
The Membership Administrative Assistant is part of a larger cross-functional team providing care
and support to established membership and helps achieve the Council’s overall
membership and retention goals by providing customer service to adult volunteers in the areas of recruitment, training and appreciation. This role supports the work of the department
through organizational and administrative tasks in the Cicero main office.
Job Duties and Responsibilities Include
- Assists with coordination, mailings, and
organization of department related special events
- Assists in budget preparation and expense
management activities.
- Assists Director in scheduling conference
calls and making travel arrangements and preparing and maintaining meeting materials, business presentations and other department files.
- Performs data collection, analysis, and
reporting to Director for decision making purposes.
- Prepares meeting agenda, schedule department
meetings and distribute minutes.

Drafts correspondence, memos, charts,
documents, tables, graphs, and plans as requested.
- Maintains the inventory of department
equipment, supplies and training course materials, processes orders and
verifies charges.
Knowledge, Skills, and Abilities
-
At least two years of administrative
experience or completion of a business administration program and one year
experience.
- Solid computer skills and quick to learn new
software and embrace new applications such as Volunteer Systems/Salesforce;
proficient in Microsoft Office Suite.

Self-starter who can work independently and
takes initiative; is flexible, adaptable, organized and has a strong attention
to detail.
- Excellent customer service skills, even in the
most difficult situations. Commits to satisfying internal and external
customers and takes responsibility to resolve customer complaints; is
responsive and elicits feedback.
- Occasional day and evening/weekend travel is
required. Must have ability to work a flexible schedule, including evenings and
weekends.
- Must have
access to personal transportation for business travel and have a valid driver’s
license. Ability
to work a flexible schedule to accommodate frequent evening and weekend work.
Proof
of Covid-19 vaccination is required or proof of acceptable exemption with weekly
testing.
