Administrative Assistant

Position: Administrative Assistant
Program: Energy Services
Reports to: Energy Services Assistant Director
Status: Full-time, Non-Exempt
Schedule: Monday through Friday 8am-4pm; 37.5 hours per week
Salary Range: $18.00 - $20.00/hour


Job Function: Provides administrative support to the Energy Services Department


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Answers department phone directing calls to proper person and/or takes messages.
  • First contact for potential weatherization clients, controls intake and release of all applications, sets up client files, gathers fuel history, verifies eligibility, completes all necessary paperwork for an Energy Service’s client. 
  • When appropriate based on workload, send out application to client. Upon receipt review for completeness and all documentation required is attached and notifies client if more information is needed. Access Cortland County Real Property Tax website to obtain homeowner information. Make initial approval and give to Assistant Director for final approval.
  • Create job number and input into spread sheet, place into line up for scheduling based on job numbers and geographical efficiency. Input client information into NYSDHCR weatherization data collection and reporting database. Schedule energy auditor appointment with client and mail notification postcard to client.  Maintain the Job Scheduling Board relative to this position.
  • Schedules audits, work, QCI and state post inspection with client, obtaining information as to their satisfaction of the work performed. Issues are immediately passed to management for follow-up and resolution.
  • Keep a supply of weatherization brochures. Advertising of programs to attract more clients. Maintain a supply of audit packets ready for the auditors, applications: regular and OFA referrals and new job folders.
  • Open department mail and disburse to appropriate person. Assists Assistant Director on special projects, information pertaining to energy efficiency; ordering of office supplies and assists other office staff as necessary.
  • Provides clerical support to department’s (filing, copying, faxing, and scanning) as necessary.
  • Attends training and professional development courses when required.


Qualifications and Requirements: High school diploma or general education degree (GED); or plus two years related experience and/or training; or equivalent combination of education and experience.
